How to Prepare for Outsourcing

As a phrase, the term “outsourcing” may cause a bit of confusion and even some hesitation. Unfortunately, outsourcing has gotten a bad rep recently, but there’s nothing wrong or shameful about outsourcing. Outsourcing work from your company will help you save time and make your business run more effectively.

This process is also known as offshoring and can be massively helpful when you’re expanding your business. If you’re ready to outsource parts of your business, you need to know how to prepare for it.

  • Write Up Your Job Description
  • Write Out The Tasks You Want Outsourced
  • Get Examples of the Tasks and Processes for Training
  • Set Aside Time to Guarantee Success

Write Up Your Job Description

Creating a job description may sound a bit strange but bear with us. While your outsourcing will delegate some of your tasks to other people, you might want to think about it as if you’re hiring a new person for your company.

They’ll work behind the scenes more than other employees, but you’ll want to compose a job description that accurately captures what you need from your offshore hire(s).

An all-encompassing, accurate, to-the-point job description will help make sure you’re getting the right people for your offshoring opportunity. It sets expectations upfront and lets them know what they’re in for, and helps you check all the boxes sooner rather than later.

Write Out The Tasks You Want Outsourced

This is another step that’s as beneficial for you as it is for the people you’re outsourcing to. Creating in-depth process documentation tells people how to do the task you’re outsourcing. Knowing what exactly you can let go of and delegate to someone else clears a lot off your plate. With a newly liberated proverbial plate, you have time to relax or even fill up your plate again with new opportunities.

Identify what tasks or processes you need to be completed, and then consider how comfortable you would be giving that task to someone else. Of course, there are some things you alone want to handle for your business, but you don’t have to do it all on your own. Invest in offshoring to keep your business running without so much hassle.

Get Examples of the Tasks and Processes for Training

No one can do their job correctly without proper training, which is why you need to create process documentation for the tasks you want to be outsourced. Getting anywhere from 3 to 5 examples of each process you want to be offshored will help your outsourced hires understand what the task will look like instead of just descriptions.

Besides helping the offshore person or team conceptualize what these tasks will look like, getting examples will help prepare you for training them as well. Correct, in-depth training ensures that people will do their job correctly and with minimal supervision required - something crucial for outsourcing.

Set Aside Time to Guarantee Success

Just because you’ve created in-depth process documentation and explicitly outlined what you need to be done in your offshoring, it doesn’t mean it’ll click for everyone right away. You’ll need to dedicate some time to answering questions and helping people through some unique scenarios until they get the hang of it.

It may seem annoying, but this kind of dedication will undoubtedly help you in the long run and make sure your outsourcing investment pays off big time.
